随着世界经济和信息技术的迅猛发展,英文商务信函信函在对外经济贸易中扮演着愈加重要的角色。

本文首先介绍英文商务信函的相关定义及特点,由此引出其在中美贸易关系中扮演着传递信息,处理信息和获取信息的重要角色,最后延伸出英文商务信函对国际贸易的影响。

Abstract
Astherapiddevelopmentofworldeconomyandinformationtechnology,Englishbusinesscorrespondencehasamoreandmoreimportantinfluenceoninternationalbusinessandtrade.Inthecontextofinternationalbusinesscommunication,Englishbusinesscorrespondenceisanimportantmediumofinformationtransmission.Intheinternationalbusinessactivities,Englishbusinesscorrespondence,asakindofquickandeffectivewayofcommunicatingiswidelyusedinthevarioustypesofbusinesssituations.AproperEnglishcorrespondencewillgiveadeepimpressionforbusinesspartnersandcooperationclient.ThispaperfirstintroducedthedefinitionandcharacteristicsofEnglishbusinesscorrespondence,andthentheimportantroleofEnglishbusinesscorrespondencewasanalyzedinthetransmissionofinformation,processingofinformationandacquisitionofinformationandfinallythispaperwilldiscusstheimpacttheEnglishbusinesscorrespondencemakeonthetradebetweendifferentcountries.

Inrecentyears,astheeconomygrowsrapidly,Chinaisundergoingansignificantchangesinallregionsandindustries,inparticularisforeigntrade.Moreandmoremanufacturesandenterpriseswhoareequippedwithadvancedandlatestknowledgeandtechnology,areseekingtheirchancesandfortuneinforeignmarketsoverseas.ThispaperexplorestheroleofEnglishbusinesscorrespondenceinthetradebetweenChinaandtheUniteStates.ThepresentstudypaysmostattentiontoEnglishbusinesscorrespondence’sstructuresandlinguisticfeatures.ThiskindofstudyaimsathelpingusgetgoodperceivetheprocessofbusinessEnglishcorrespondencesoastobetterunderstandingandgetnewskillsofstudyingEnglishbusinesscorrespondenceinaccordwiththeconventionintheworld.Inthedevelopoftheworld,interactionintheworldisbecomingmuchmorecommonandmuchmorefrequent.AndEnglishbusinesscorrespondence,onerespectivelyeasyandpopularwaytocommunicate,isfrequentlyusedinourdailylifeandbusinesscommunicationwhenwehavecontactwithforeignpeople.Infact,Englishbusinesscorrespondenceisextremelyimportantindomainssuchaspublicrelationship,mediainthatyouhavetoexpressyourviewstoexchangethoughtsandtotacklewithproblems.Englishbusinesscorrespondenceisanimportantchannelofmodernbusinesscommunication.ThebusinesscontactisEnglishbusinesscorrespondenceoftenusedintheinternationaltrade.ThroughthestudyoftheeffectsofEnglishbusinesscorrespondenceinforeigntrade,wecanobtaineffectivecommunicationandexchangewithforeigners.

Peopleexpresstheirstandpoints,viewsandinformationwiththeirleaders,businesspartnersandcolleaguesoftenindailylife.Toachievethat,theycanspeakdirectlyaswellaswriteletterstoexpressindirectly.Whentheywriteletters,peoplemayshowtheirfeelingsinafewword,ortheymayaskforinformationtheyneed,ortheymayalsojustwritetocomplainaboutthingsbothsideknow.Similarly,businesspeoplewillwritetoexchangeinformationandviewsasordinarypeopledo.Theyusebusinesscorrespondencetocommunicatewithcustomers,producersandotherrelatedunitsintheprocessoftheirdoingbusiness..
2.1DefinitionofEnglishBusinessCorrespondence
Englishbusinesscorrespondencecomesintheformofletters,emailsortextmessages.Themethodofcorrespondencedependsontheissuebeingaddressed,aswellasonthepartyreceivingthemessage.
Itiscalledpersonalcorrespondencewhichordinarypeoplewritetotheirfriendsandrelativestoexchangetheirmoods,thoughtsandviews.Inopposite,abusinesscorrespondenceisdefinedasletterswhichbusinesspeoplewriteandreceiveduringtheirdailybusinessprocessandtransactions.It’skindorwirttencommunicationbetweentwoormoreparties.Thosebusinesspeoplewillwriteletterstotheirsuppliersandalsoreceivelettersfromthosesuppliers.Consumerscancommunicatewithsellersthroughlettersandcorrespondencetoaskforinformationofproducts,suchasprice,quality,quantity,samples,delivery,paymentandsoon.Asaresult,businesslettersisdefinedtobeameansviawhichpeopleexchangeinformationandcommunicateideasduringtheprocessofdoingbusiness.
2.2CharacteristicsofEnglishBusinessCorrespondence
AnEnglishbusinesscorrespondencesetsthetoneforfutureinteractions.WhenaprospectiveclientreceivesaEnglishbusinesscorrespondence,heimmediatelyformsanimpressionofthewriterandhisorganization.IftheEnglishbusinesscorrespondenceistoocasual,thewritermayappearinsincereorunprofessional.Formalbusinesscorrespondencecanintimidateoralienatethereader.Awell-organizedandwell-writtenEnglishbusinesscorrespondencewillcreateapositivefirstimpression.
(1)Well-organized.EachEnglishbusinesscorrespondenceaddressesaspecificpurposeoraim,suchasainquiryforproduct’sinformationoraresponsetoasuggestionbusinessparticipantsdraw.Inbusinesscorrespondence,peopleoftenstatespurpose.Itanswersthejournalist'squestions:
who,what,when,whereandwhy.Besidesthepurposeinfirstparagraph,otherparagraphsleftwilluselogicandfactstosupportthepurposefromdifferentaspects.Intheend,peoplewillrestatethepurposeinthelastparagraph,inwhichtheywillclarifytheirexpectationsaswell.TomakesureallpartsoftheEnglishbusinesscorrespondenceflowsmoothlytogether,writerswillselectphrasesappropriatelyintransitionplace.
(2)ClearandConcise.Thestandardofagoodenglishbusinesscorrespondenceisthatitexpresspertinentinformationconciselyandclearly.Tomeetthatstandard,writerswillexpresswithlanguageinapolite,clearlyandconcisetone.Hewillselectwordsandphrasestheyuseinletterstomakesurereaderscanunderstandeasilyandcorrectly.Theywillescapefromabstractlanguage.Theywillvarythelengthofsentencestoadopttotheneedsandsituations,too.They,however,donotlimithimselftoshort,choppysentences.What’smore,theywilluseactivelanguageaspossibleastheycan,andtrytouselesspassivevoice.AgoodbusinessEnglishcorrespondenceprovidesallpertinentinformationinaconciseandclearmanner.Thewriteruseslanguageandanappropriatetone.Hesimplykeepsthevocabularyandavoidsusingtechnicalorabstractlanguagetoimpressthereader.Hevariessentences'length,steeringthatisawayfromlong,ramblingsentenceswithexcessivedetails.He,however,doesnotlimithimselftoshort,choppysentences.Wheneverpossible,heusestheactivevoiceinsteadofthepassivevoice.
